The Role

We are seeking an organized and proactive Medior/Senior Project Coordinator and Office Manager to join our team in Utrecht. This 4-day-per-week role offers flexible working hours, with the option to partly work remotely.

You will play a key role in supporting the
EU Cool Neighborhoods Project
, focused on reducing heat stress in European cities, coordinating between all stakeholders in that project, and contribute to the
overall management and coordination
of the office and other ongoing projects (in about a 50%/50% ratio).
This is a broad and dynamic role where you will represent Except in both
Dutch and English
, facilitating community workshops, communicating with diverse stakeholders, and helping keep the projects as well as the office running smoothly.
We are a small team, therefore we value someone who enjoys working as a generalist, taking initiative, and supporting both project work and the core team. You will be working directly with our senior experts, for Cool Neighborhoods with Eranda Janku, and for office management with our director, Tom Bosschaert.

Key Responsibilities

• Lead project coordination and communication for the EU Cool Neighborhoods project.
• Facilitate community workshops and engage stakeholders.
• Coordinate day-to-day office management, light administrative tasks, and support our Director in his activities.
• Communicate with clients, partners, and the internal team in both Dutch and English.
• Support organizational management across various projects.
• Represent Except at meetings and events, ensuring seamless coordination.

What We're Looking For

• Experience in

project coordination

and

office management

(preferably 5+ years).

• Skilled in organizing, facilitating workshops, and managing administrative tasks.
• Excellent communication skills in

Dutch

and

English

.

• A generalist who thrives on coordination, communication, and organizing tasks.
• Proactive, responsible, and capable of working independently and as part of a team.
• Affinity with sustainability and a passion for creating a better world.
