Job description:

As the Senior Events and Office Coordinator, you will play a vital role in ensuring the smooth execution of corporate events, internal communications, and office management. This multifaceted role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.

You will be responsible for independently planning, coordinating, and executing events that enhance employee engagement, strengthen client relationships, and reinforce our brand presence. You will also oversee internal communication strategies to ensure alignment and engagement across teams while maintaining a well-organized, efficient, and welcoming office environment.

Your tasks

Marketing and communications:
  • Take ownership of the planning and execution of internal and external events, including liaising with vendors, handling logistics, and ensuring high-impact event delivery.
  • Keep track of HALIX corporate agenda and arrange and host site visits, ensuring a professional and engaging experience.
  • Handle marketing administrative tasks, including reporting, tracking expenses, and purchasing.
  • Support culture and engagement activities, driving a positive and innovative work environment.
  • Develop basic marketing content such as social media posts to promote events and initiatives.
  • Manage company newsletters, intranet updates, and employee engagement communications.
  • Ensure messaging consistency and alignment with company values and business objectives

Office support:
  • Own the reception area, welcome visitors, prepare badges to deliver a professional and inviting experience
  • Assist in travel arrangements and accommodation bookings
  • Prepare and organize meeting rooms for various important events and functions
  • Support new office projects that enhance functionality and contribute to an inspiring office atmosphere.
  • Executive support in administrative tasks

You have

  • Bachelor’s degree in Marketing, Communications, Business Administration, or a related field.
  • Minimum of 5 years experience in event management, marketing, office administration, communications, or a similar role.
  • Proficiency in Microsoft Office Suite.
  • Proactive, resourceful, and capable of working independently.
  • Strong interpersonal and communication skills to engage with stakeholders at all levels.
  • Experience with marketing tools and platforms is a plus.
  • Experience with social media platforms and basic creative design tools is a plus.
  • Experience with Navision or similar administrative software is a plus.
