Are you an experienced professional with strong organizational skills, proficient in management support, and looking for a challenging pivotal role in an international and dynamic environment? Then Sif is the place for you! We are looking for a proactive Management Assistant to expand our Executive Support Team. This team supports and relieves the Executive Board and Management Teams across both locations in the broadest sense of the word.

What does a Management Assistant do?

As a Management Assistant, you will be the central pillar of our organization, together with the Executive Assistant and the Commercial Executive. You will provide high-quality secretarial and organizational support to the Executive Board and Management Teams, ensuring smooth operations by organizing and managing daily tasks. You will support the Executive Assistant, who acts as the central point of contact for the CEO, CFO, and COO. Additionally, you will contribute to optimizing and structuring management support and services (including Front Office) at both Sif locations. While the Executive Assistant works from the Roermond location, you will be based at the Maasvlakte 2 site. Together, you will create seamless and consistent support tailored to each location’s specific needs while maintaining a uniform and professional approach.

Your responsibilities
  • Effective agenda and email management for the Executive Board and Management Teams, with priority tracking for the CEO, COO, and CFO.
  • Preparing, scheduling, and taking minutes for meetings, including collecting and preparing necessary documents, tracking action points, and monitoring deadlines.
  • Managing and optimizing the meeting structure, including annual planning.
  • Assisting with the organization of events, safety days, and work conferences.
  • Organizing and booking travel arrangements.
  • Drafting and managing correspondence and executive documents.
  • Supporting the Investor Relations Manager with administration and reporting.
  • Maintaining and optimizing the executive archive on SharePoint and MS Teams.
  • Requesting, collecting, verifying, and processing various data and information, including corporate data such as Chamber of Commerce and bank information.
  • Handling HR-related matters, such as onboarding Management Team members, employee recognitions, and processing expense claims and time registrations.
  • Contributing to Sif’s overall representativeness.
Where will you end up?
You will be part of the Executive Support Team, reporting to the Executive Assistant. You will work closely with the Executive Assistant and Front Office colleagues, as well as the Commercial Executive.During your three-month onboarding period, you will work at our Roermond location two days per week. A hotel stay is possible. After your onboarding, this will be approximately one to two times per month.

You are ambitious, organized, and structured, with a keen eye for detail. With proven experience in similar roles, you understand how to contribute to Sif’s success from a support role. You thrive in a dynamic environment and remain calm under pressure. Your work style is proactive, and you have a strong service-oriented mindset. You are decisive, communicative, and discreet in handling confidential information.

You possess;
  • HBO-level education and thinking
  • At least five years of experience in a similar role
  • Excellent command of Dutch and English, both written and spoken
  • Strong organizational skills and a structured working approach
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Proactive and flexible attitude
  • Discreet and reliable
What does SIF offer you?
  • A salary between €3,650 and €5,500 gross per month (based on 40 hours), depending on experience and education
