, we are looking for an
Executive assistant
What are you going to do?
This position will provide administrative support to different stakeholders in the company. The qualified candidate must be detail-oriented, highly organized with strong multi-tasking abilities, and able to project a professional company image through in-person, telephone and email interaction.- Maintain calendars, itineraries and expense reports
- Set up and coordinate meetings and conferences
- Handle all travel arrangements, domestic and international
- Prepare correspondence, reports and materials for presentations
- Maintain a comprehensive filing system for all correspondence, reports and documentary records
- Manage the planning, organization and execution of major projects/meetings, including venue, travel arrangements, and accommodations, as requested
- Confidentially handle incoming/outgoing correspondence/communications and initiate the appropriate response or action required
- Produce accurate written (e.g. Word) and graphical (e.g. slides/presentations) communications, with proper formatting, as requested
- Provide administrative support to VP, Sales and direct reports and VP HR, as required
- Other administrative assignments, as required
Ability to follow defined processes and work with appropriate associates to improve processes
High level of organization and multi-tasking ability
Resourceful and disciplined to work unsupervised
Attention to detail and discretion with confidential information
Strong proficiency with Microsoft Office products, especially Word, Excel, and PowerPoint
Demonstrated ability to learn new software applications
Professional verbal and written communication skills
Ability to work well under pressure and as part of a team
A willingness to work a flexible schedule and some overtime, if required
Ability to anticipate needs, issues and problems, and take a proactive approach to managing same
Ability to support multiple customers, (internal or external), and prioritize activities
Previous administrative executive-level assistant experience required
Must be reliable in attendance

Function requirements
5+ years of experience in an executive administrative capacity supporting a senior level executive 3+ years of event planning experience (large and small group off-site meetings which include overnight accommodations, meals, activities, ground and air travel coordination, etc.)
Professional demeanor

Experience handling international travel
Excellent communication and interpersonal skills
Exceptional PC skills
Excellent time management skills, including the ability to multitask and work under tight deadlines
Exceptional organizational skills with the ability to prioritize and proactively complete projects with little direction
Ability to work well under pressure and to meet deadlines in a fast-paced environment
Accuracy in work and the ability to complete work in a timely fashion
Ability to work independently, without a lot of direction and hand-holding
Communication Skills: Excellent oral, listening, and written communication skills
Respect for the organization’s core values through maintaining organizational and ethical norms
