Functie omschrijving Admin Support
For our partner we are looking for an Admin Support based on 32-40 hours a week.At our partner in The Netherlands, we provide products, solutions, and services for cybersecurity to national and international customers
.
In some cases, we resell the products of technology vendors and in some other cases we provide our own solutions and services. In both cases, it is important to follow some operational, logistical and administrative processes.
These processes connect the three main departments that are involved in the delivery, namely, sales, operations, and finance. In order to optimize our group offering we will build a fresh new interdepartmental team. This fresh new cross-functional team will handle all of the processes that connect the dots between the three departments.
The activities for this team are structured around those three departments: –
Sales Support
- Provide support to both the Account Managers the timely start-up and follow-up of expiring contracts;
- Discuss projects with the internal organization so that Finance and Operations know what to do and the projects can start successfully;
- Make calculations in Excel and Salesforce for quotations, based on information you receive from vendors, sales, pre-sales or customers;
- Maintain and process quotations and orders in Salesforce for a correct transfer to our Finance department.
- Manage the Sales funnel in Salesforce for both new orders and renewals;
- Answering questions from colleagues about quotations and orders. This includes questions from our Service Desk, Finance and Operations.
Operations
- Monitoring hourly registration;
- Administration and communication around absence of customer facing admin roles;
- Tasks around the invoicing of projects;
- Schedule training for billable roles;
- Schedule company meetings;
- Be involved in the last step in process of order to bill and assign new projects together with Lead Project manager to Project managers;
- Several logistical tasks around licenses, maintenance, and deliveries
Finance
- Perform all activities of the Order-to-Bill, Order-to Cash processes which are supported by the Company’s AFAS ERP;
- Run the purchasing process and follow up on purchase orders;
- Run the billing process, from its parametrization to the issuance of the invoices;
- Run the collection process;
- Book or check the accounting entries associated to revenues and clients;
- Monitor pricing and volume agreements with suppliers and customers;
- Assist Business controlling and Sales Department in the revenues and customers analyses.

Eisen en wensen voor de functie Admin Support
Requirements:
- HBO or MBO working and thinking level, preferably with a completed education in Finance & Control, Business Economics or Commercial Economics;
- At least 3 years of work experience in an administrative or financial comparable position, you are ready for the 2nd step in your career;
- Good knowledge of Microsoft Excel (including building/managing reports) and AFAS;
- Good Dutch and English language skills;
- You are analytically strong and excellent at seeing through data/figures, you have strong communication skills and you enter confidentially into discussions based on content and relationship;
- You work precisely and with a hands-on and can-do mentality;
- You have a pro-active attitude and you are satisfied when the work is done and the admin tasks are correctly handled.
